What is Form 1096 used for?
Form 1096 is the Annual Summary and Transmittal of U.S. Information Returns. When you mail paper Forms 1099 (or certain other information returns) to the IRS, you attach a 1096 that states how many forms are in the batch, total federal income tax withheld, and the total amount reported for that form type. It is a coversheet for paper filing—not a substitute for the recipient copies of each 1099.
How should I enter an EIN on Form 1096?
Use the filer’s Employer Identification Number in XX-XXXXXXX format (9 digits). Sole proprietors sometimes use an SSN in Box 2 instead of an EIN in Box 1—follow the official Form 1096 instructions for your situation. This calculator flags incomplete EINs so you can catch typos before you copy totals onto the paper form.
How does Box 5 (total amount reported) relate to 1099 boxes?
Box 5 is the sum of specific boxes on the information returns in that 1096 batch. For example, 1099-NEC generally sums Boxes 1 and 3; 1099-INT uses Boxes 1, 3, 8, 10, 11, and 13; 1099-K uses Box 1a. For 1099-G (and some other forms), IRS instructions say no Box 5 entry is required. Always use one Form 1096 per form type—do not mix NEC and MISC on the same 1096.
Do I need Form 1096 if I e-file through IRIS or FIRE?
Generally no. Electronic filing of information returns through IRS systems such as IRIS (or legacy FIRE for some filers) does not use a paper Form 1096 coversheet. Paper 1096 applies when you mail paper information returns. Thresholds for mandatory e-filing can change—confirm current IRS rules if you file 10 or more information returns.
